Donor Tools Privacy Policy
Higher Pixels, LLC is committed to protecting the privacy of those who use the Donor Tools service (www.donortools.com).
In order to provide the Donor Tools service, we collect certain information about you, our customers. Additionally, we store data and information that you enter about your donors and your organization. Your privacy, your donors’ privacy, and the security of your data and information is of the utmost importance to us. This document explains what we do with your data and information and how we safeguard it.
Definitions
- When we refer to You and Your, we are referring to a customer: an organization that signs up for a Donor Tools account for the purpose of using the Donor Tools service.
- An Organization is a customer of Donor Tools who has signed up to use the Donor Tools service. An Organization page can be accessed by navigating to https://your_organization.donortools.com. An Organization need not be formally organized: individuals, clubs, groups, churches, and nonprofit corporations are all considered Organizations if they have a Donor Tools Account.
- Your Account means your Donor Tools record that contains your donors, donations, users, and other data.
- Your Data means your donors, donations, notes, tags, emails, thank-you letters, reports, etc. that are contained in your Account.
- A Donor Record (or simply a Donor) means the collective data that you record about an individual Donor.
- Us, We, The Company, Higher Pixels, LLC, and Donor Tools refer to Higher Pixels, LLC, a Florida Limited Liability Company.
Information We Collect
When you register for the Donor Tools Service, we will request some personal information such as name, email address, and phone number. You may also voluntarily provide other information, such as your mailing address, telephone number, and other relevant information. If you decide to purchase the Donor Tools Service, we will request your mailing address and financial information. Any financial information we collect is used only to bill you for the services you purchased. If you purchase by credit card, this information will be transmitted to our credit card merchant account provider, and may be forwarded to your credit card provider. We do not store credit card information. For other types of registrations, we will ask for the relevant information. You may also be asked to disclose personal information to us so that we can provide assistance and information to you. For example, such data may be warranted in order to provide online technical support and troubleshooting.
We collect the e-mail addresses and contact information of our customers and those who communicate with us via e-mail.
The information we collect is used exclusively to provide the Donor Tools service and to provide customer support, and is not shared with or sold to other organizations for commercial purposes, except to provide products or services you’ve requested, when we have your permission, or under the following circumstances:
- You have authorized us to act on your behalf to initiate the creation of a Merchant Account for the purpose of accepting donations by credit card,
- It is necessary to share information in order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of Terms of Service, or as otherwise required by law (see Disclosure, below),
- We transfer information about you if Higher Pixels, LLC or Donor Tools is acquired by or merged with another company. In this event, we will notify you before information about you is transferred and becomes subject to a different privacy policy.
Your Data
We will not access, view, search, or aggregate your data or information without your knowledge and express consent.
In order to learn how to serve you better, we may access select statistical information about your data. These statistics are limited to:
- the number of records of various types in your database,
- the average number of donations that your organization records per month,
- the date of most recent activity in your account.
No personally identifying information ever accompanies these statistics.
We will not disclose personally identifiable information we collect from you to third parties without your permission except to the extent necessary including:
- To fulfill your service requests for services,
- To protect ourselves from liability,
- To respond to legal process or comply with law, or
- In connection with a merger, acquisition, or liquidation of the company.
Support & Error Resolution
Under certain circumstances it may be necessary for us to access your Data in order to provide technical assistance or support, or to resolve an error. Emailing support@donortools.com implies granting us permission to access your Data for exclusively for the purpose of fulfilling your support request. Notwithstanding this implied permission, we must receive specific permission from you before modifying any of your data on your behalf.
In some cases, upon your request, it may be necessary for us to sign in to your Donor Tools account as a “Support User” in order to provide hands-on support. In these cases an Audit History record will be created for each action that is taken by the Support User.
We are notified by an automated process every time an error happens on our system. We reserve the right to access your data exclusively for the purposes of investigating and/or correcting system failures and/or errors that occur in the database or the application. This includes, but is not limited to, errors in importing or exporting data, errors or failures in third-party integration systems, and failures that arise from data entry errors. We will notify you if we are required to make any changes to your data in order to restore normal system functionality.
Third-Party Integration Services
Donor Tools may provide optional data integration with certain Third-Party Services. Examples of Third-Party Services may include fundraising tools, payment processors, and reporting products.
Third-Party Integration Services may expose all or portions of your data to the third party service. Third-Party Integration Services will never be enabled without your consent. You can enable or disable these services at any time by changing the appropriate settings or authentication credentials from within your Donor Tools account.
You must agree to abide by any license agreement or terms of service imposed by the Third-Party Integration Service.
Web Server Logs
When you use the Donor Tools service, we may track information to administer the site and analyze its usage. Examples of information we may track include: Your Internet protocol address, the kind of browser or computer you use, number of links you click within the site, state or country from which you accessed the site, date and time of your visit, name of your Internet service provider, web page you linked to our site from, pages you viewed on the site.
Cookies
Donor Tools requires the use of “cookies” for the service to function. A cookie is a small text file that is placed on your hard disk by our service. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies are uniquely assigned to you, and can only be read by a Web Server in the domain that issued the cookie to you. Cookies must be enabled in your browser in order for the service to function.
Audit History
When you use your Account, an “Audit History” is generated for every action that is taken on your account. For example, an audit record is generated when a donation is recorded, when it is modified, and when it is deleted. Depending on the type of action, the level of detail retained in the audit record may vary. For example, if the amount of a donation is modified, the audit record will show the original amount and the new amount. Audit records cannot be changed or removed, even by an administrator.
Your Audit History may be deleted if you cancel your account.
Donor Self Service™
If you provide an email address for a Donor Record, then that Donor can choose to access his or her records using Donor Tools’ Donor Self Service™ feature. Before accessing their records, the donor must first validate that they are the owner of the email address. Information that the Donor can access is limited to their own donations to your organization, their giving history, and their contact information. The Donor may also choose to update their contact information, which will be reflected in their Donor Record in your Donor Tools Account.
A Donor may choose to access multiple Organizations using the same username and password. However, data or information is never transmitted between your Organization and any other Organization.
Your Public Profile
Certain information about your organization that you post in your Donor Tools account will automatically appear on your public website (using the web address https://youraccount.donortools.com
, where “youraccount
” is the web address that you chose when you signed up). This information is limited to only that which you provide. To modify your public information, you may sign in to your account, click “Settings”, and then click “Public Profile”.
Note: individual donor data is never published, and can only be accessed by the Donor himself through Donor Self Service™ as described above.
Disclosure
Higher Pixels, LLC may disclose personally identifiable information under special circumstances, such as to comply with subpoenas or when your actions violate the Terms of Service. Higher Pixels, LLC will not disclose personal or organization information to any law enforcement agency without a proper and valid warrant, and then only the minimum required information will be released. Higher Pixels, LLC reserves the right to consult our attorney to verify the validity of all warrants and subpoenas.
Accessing Your Account Information
We will provide you with the means to ensure that personally identifiable information in your web account file is correct and current. You may review this information by logging in to your account and clicking on your email address link in the upper-left hand corner of the web page.
Cancellation
If you cancel your account, all information and data in your account will be queued for deletion. After your account is cancelled, it may be restored for a period of one day, after which the account and all its data will be completely and irretrievably destroyed. You can cancel your Account at any time without obligation by signing in to your account, clicking “Settings”, then “Billing”, and clicking “cancel this account”.
Changes to this Statement
Higher Pixels, LLC has the discretion to occasionally update this privacy statement. When we do, we will also revise the “updated” date at the top of this Privacy page. We encourage you to periodically review this privacy statement to stay informed about how we are helping to protect the personal information we collect. Your continued use of the service constitutes your agreement to this privacy statement and any updates.
